This policy explains how Beatz Hire ("we", "us", "our") collects and uses personal data when you visit beatzhire.co.uk, send us an enquiry or book our services. We are the controller of your personal data under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Who we are
Beatz Hire provides event production, sound, lighting, staging, DJ and equipment hire across London and the South East. If you have any questions about this policy or your data, contact us:
The data we collect
- Enquiry and contact details: your name, email address, phone number, company name (if you give one) and anything you tell us about your event, such as the date, venue and equipment you need.
- Booking information: the details we need to quote for, deliver and invoice your hire or production, including delivery and venue addresses and payment records.
- Communications: emails, calls and messages you exchange with us.
- Website usage data: how you use our website, such as the pages you visit, the device and browser you use, your approximate location and how you found us. This is collected through cookies and similar technologies (see Cookies below).
We do not ask for sensitive information such as health details. Please do not include it in your enquiry.
How we use your data and why
- To answer your enquiry and prepare a quote: because you have asked us to before entering into a contract, and our legitimate interest in responding to enquiries.
- To deliver the services you book, including delivery, setup, crew and collection: to perform our contract with you.
- To invoice you and keep business and tax records: to meet our legal obligations.
- To protect our website and forms from spam and abuse: our legitimate interests.
- To understand how our website is used and improve it: your consent, given through our cookie banner.
We do not sell your personal data.
Who we share it with
We only share your data with organisations that help us run our business, and only as far as they need it:
- Our website host and form provider (Webflow), which stores the enquiries you send through the website.
- The email, phone and business software we use to manage enquiries, bookings and accounts.
- Google (Google Analytics and Google Tag Manager), which measures how our website is used.
- Cloudflare (Turnstile), which checks that form submissions come from real people.
- EmbedSocial, which shows our Instagram feed on the website.
- Crew, suppliers and venues, where they need your details to deliver your event.
- Our accountants, insurers and professional advisers, and public authorities where the law requires it.
International transfers
Some of these providers are based in, or store data in, countries outside the UK, including the USA. Where this happens, we rely on safeguards approved under UK data protection law, such as the UK Extension to the EU-US Data Privacy Framework or the UK International Data Transfer Agreement and Addendum.
How long we keep it
- Enquiries that do not lead to a booking: up to 2 years from our last contact with you.
- Booking, invoicing and accounting records: 6 years after the end of the financial year they relate to, as required for tax purposes.
- Website analytics data: no longer than 14 months.
Cookies
Cookies are small files stored on your device. We use:
- Strictly necessary cookies that make the website work and remember your cookie choices. These do not need your consent.
- Analytics cookies set by Google Analytics (such as _ga and _ga_*), which help us understand how visitors use the website. These are only set if you accept them in our cookie banner.
- Third-party content, such as our Instagram feed, which may set its own cookies when it loads.
You can change your mind at any time by clearing the cookies for this website in your browser. The cookie banner will then appear again.
Your rights
Under UK data protection law you have the right to:
- access the personal data we hold about you;
- ask us to correct data that is inaccurate or incomplete;
- ask us to delete your data;
- ask us to restrict how we use your data;
- object to our use of your data where we rely on legitimate interests;

To use any of these rights, email us. We will reply within one month, and there is normally no charge.
Keeping your data safe
We use reputable providers, secure password-protected accounts and access controls to protect your data. Only people who need your data to do their job can see it.
Complaints
If you are unhappy with how we have handled your data, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
