Most people start in the wrong order. They book the venue, sort the catering, choose a theme, and then realise two weeks before the night that they have no sound system, no DJ setup, and no lighting to transform the room.

The right time for most mid-size businesses. Venue options are still strong and AV hire suppliers have good availability. Many companies lock in their sound, lighting, and DJ setup during summer.
Still possible, but choices narrow quickly. Popular Friday dates and city-centre venues fill up fast. You may need to compromise on your preferred date or venue style.

This is where most Christmas party planning falls apart. Here is the right order.
Pick two or three preferred dates. Fridays go first, followed by Saturdays and premium December Thursdays. Lock in your date before anything else.
Once your date is agreed, confirm the venue. Check whether it has an in-house sound system or whether you need to bring production in. Most hotels and blank-canvas venues require external AV hire.
Questions to ask your venue before signing anything: Is there a house sound system? What is the power supply like? Are there loading restrictions? Is there a noise limiter? What time can suppliers access the room?
Once the venue is confirmed, book your production support. This is the step most people skip or delay, and it is the one that causes the most problems.
