Product Launch Event Production: Sound, Staging, Lighting and AV Hire

Product launch event production covers staging, sound, LED screens, lighting, content playback, and the crew who manage it all. It is separate from event management. The reveal moment needs pre-programmed cues, a show caller, and a full technical rehearsal. Small launches start from £2,000, mid-size brand launches from £5,000 to £12,000, and large activations from £12,000 to £30,000 plus. The most common mistakes are skipping the rehearsal, underestimating screen quality, treating music as an afterthought, and booking staging and production from separate suppliers. Beatz Hire supplies full production for launches across London and the South East.

A product launch is one of the highest-stakes events a brand runs. The room needs to look right, the reveal moment needs to land properly, and every guest needs to hear and see clearly from the first word to the last.

Most product launch guides focus on guest lists, venues, and PR strategy. Very few explain what the technical production side actually involves, what equipment you need, and what it realistically costs to make a launch feel properly executed.

This guide covers the production and AV side of product launch events what to hire, how to plan it, and what the most common technical mistakes look like.

Written by Jack Bridges, Founder of Beatz Hire and Event Production Specialist, supporting product launches, brand events, and corporate productions across London and the South East.

At Beatz Hire, we supply sound systems, staging, LED screens, lighting, wireless microphones, DJ equipment, and technical crew for product launches, brand activations, store openings, and corporate events across London, Surrey, Berkshire, Hampshire, Oxfordshire, and Buckinghamshire.

What is Product Launch Event Production?

Product launch event production is the technical and creative delivery of the live launch experience. It covers everything the audience sees, hears, and feels from the moment they walk in to the moment the product is revealed.

It is separate from event management. Management handles the venue, guest list, catering, and logistics. Production handles the sound system, lighting design, staging, screens, content playback, and the crew who operate it all on the day.

A well-managed launch with poor production looks unfinished. Guests strain to hear the CEO's speech. The reveal moment falls flat because the lighting did not change. The product video buffers on a screen that is too small for the room.

A well-produced launch feels considered and deliberate. Every technical element supports the moment it is supposed to support.

What Technical Production Does a Product Launch Need?

The answer depends on the format of the launch, the venue, and the size of the audience. But most product launches need some combination of the following.

Staging

The stage anchors the entire event. For a product launch, it also needs to accommodate the reveal moment whether that is a speaker unveiling the product, a video playing on a screen behind them, or a physical display being uncovered.

Stage design for product launches is often more considered than for other corporate events. Branded backdrops, custom fascias, integrated screen structures, and controlled reveal lighting all require a properly built stage to work from.

At smaller launches, a simple modular platform with a branded backdrop and lectern is enough. At larger brand launches, a full custom stage build with integrated LED walls, reveal lighting, and branded set pieces creates the visual impact the moment requires.

LED Screens and Presentation Systems

Product launches are highly visual events. The product itself, the brand identity, the campaign content, and the speaker presentation all need to be displayed in a way that is clear, bright, and impactful from every seat in the room.

LED walls deliver significantly better brightness and contrast than projection in most launch environments, particularly where ambient light cannot be fully controlled. For a brand that has invested heavily in campaign visuals, the screen quality matters.

A properly configured presentation system includes seamless switching between content sources, confidence monitors so speakers do not need to turn their backs to the audience, and tested playback of all video and graphic content before doors open.

Sound Systems

Clear audio is non-negotiable. A product launch involves speakers, brand films with audio, and often music or DJ sets for the post-reveal section. The sound system needs to handle all of these without compromise.

For smaller launches of up to 100 guests in a hotel suite or event space, two to four quality active speakers with a digital mixer and two or three wireless microphones is usually sufficient.

For larger launches of 200 guests or more, a proper PA system with subwoofers, line coverage, and a front-of-house engineer managing levels throughout the event is the right approach.

Lighting

Lighting is the single most underestimated element of a product launch. It does more work than any other technical element to set tone, build anticipation, and make the reveal moment land.

Stage wash lighting ensures speakers are clearly visible and well-lit for photography and video. Atmospheric lighting using colour, intensity, and movement creates the energy that matches the brand identity. Reveal lighting a timed cue that changes the room when the product is unveiled is the moment most guests remember.

Gobo lighting, where a brand logo or pattern is projected onto walls and surfaces, reinforces visual identity throughout the event without requiring printed materials.

DJ and Music

Many product launches have a DJ-led element either during the arrival reception or following the reveal. A proper DJ setup Pioneer CDJs, DJM mixer, and integrated PA delivers a significantly better experience than a playlist through a Bluetooth speaker.

The DJ setup also needs to integrate with the main PA system so transitions between speech, video audio, and music are clean and managed by the production crew.

Technical Crew

The production crew are the people who make the technical elements work in real time. A show caller coordinates cues. A sound engineer manages levels and microphone handovers. An AV technician manages screen content and switching. A lighting operator executes lighting changes throughout the event.

For a product launch where the reveal moment is the centrepiece of the entire event, having experienced operators managing every cue is not optional.

Product Launch Event Production Costs

Costs depend on venue size, audience numbers, production complexity, and whether the launch includes a custom stage build or standard modular staging.

Small Product Launch (Up to 100 Guests)

From £2,000 to £5,000

Usually includes modular staging with branded backdrop, PA system, two to three wireless microphones, presentation screen, basic lighting, and a technician on site.

Mid-Size Brand Launch (100 to 300 Guests)

From £5,000 to £12,000

Often includes a custom or semi-custom stage build, LED screen or large-format projection, full lighting design including reveal cues, PA system with subwoofers, multiple wireless microphones, DJ setup, and production crew.

Large Scale Product Launch or Brand Activation (300 Plus Guests)

From £12,000 to £30,000 plus

Can include full LED wall builds, custom branded stage sets, show calling, multiple production crew, complex lighting design, full PA systems, and complete technical management from load-in to pack-down.

How Product Launch Production Differs From a Standard Corporate Event

Most corporate events are about communication. The goal is clear audio, readable slides, and a professional feel.

A product launch is about impact. The goal is a moment that guests remember and talk about. That changes the production brief significantly.

The reveal moment needs to be planned technically from the start. Lighting cues, screen content, audio transitions, and physical staging all need to work together at a specific point in the running order. This requires a show caller and pre-programmed cues, not someone hitting play on a laptop.

Visual quality matters more. LED walls over projection where possible. High-resolution content. Branded elements that reinforce the product identity throughout the room.

The arrival and post-reveal experience are part of the production. Background music on arrival, the transition into the presentation, and the DJ or entertainment after the reveal are all part of what guests experience. They need to be planned and managed as part of the same production, not sourced separately.

Photography and video need to be considered. Stage lighting for a product launch needs to work for cameras as well as for the room. Getting this wrong means expensive campaign photography that looks flat or poorly lit.

What to Ask Before Booking a Product Launch Production Company

Do you own your equipment?Owned kit means better availability and no last-minute sourcing issues for high-profile events.

Have you delivered product launches before?Brand launches have different production requirements from conferences and parties. Experience with reveal moments, show calling, and branded staging matters.

Can you supply staging, sound, lighting, and screens together?Booking production through one supplier keeps the brief coordinated and avoids the problems that arise when different crews with different equipment arrive on the same day.

What is your process for the reveal moment? This is the question that separates suppliers who understand product launch production from those who do not. The answer should involve pre-programming, rehearsal, show calling, and a clear cue plan.

Can you work with our agency or brand team? Many product launches involve a creative or events agency handling the concept and management. A production company needs to be able to take a technical brief from an agency and deliver against it without friction.

Common Product Launch Production Mistakes

Not rehearsing the reveal. The reveal moment is the reason everyone is in the room. If the lighting cue is wrong, the screen content does not load, or the audio transition is clumsy, the whole event is remembered for the wrong reason. Always rehearse.

Underestimating screen quality. A product that looks stunning in campaign photography looks flat on a low-brightness projector in a room with ambient light. LED walls cost more but deliver the visual quality a brand launch requires.

Treating music as an afterthought. The arrival atmosphere, the transition into the presentation, and the energy after the reveal are all shaped by sound and music. Patching a laptop into a venue house system is not a production decision it is an oversight.

Not accounting for load-in time. Product launches often involve custom set builds, LED wall installations, and complex lighting rigs. These take significantly longer to install than a standard corporate event setup. Always confirm venue access times before finalising the production plan.

Booking production separately from staging. When a staging company and a production company are working the same event independently, coordination problems are common. Rigging expectations conflict. Access times clash. Nobody takes overall responsibility. Book it together.

Skipping the technical rehearsal. Every speaker needs to know where to stand, when to speak, and what they will see on their confidence monitor. Every cue needs to be tested in the room. A technical rehearsal is not a luxury on a product launch it is the difference between a moment that lands and one that does not.
