Conference Production

Conference Production Services: What's Included, What It Costs, and What to Look For

Conference production is the technical side of a conference covering sound, staging, screens, lighting, microphones, live streaming, and crew. It is separate from event planning and management. Without it, even well-organised conferences fall flat because delegates cannot hear clearly, cannot see content, and the event feels unprofessional. Small conferences start from £1,500, mid-size from £3,500, and large events from £8,000 plus. The most common mistakes are assuming the venue AV is sufficient, booking production last, underestimating microphone requirements, and not planning streaming from the start. Beatz Hire covers fully managed conference production and dry hire across London and the South East using RCF and L-Acoustics systems, Allen and Heath mixers, and professional wireless microphone setups.

Conference production covers everything technical that happens between an empty venue and a room full of delegates experiencing a professional, well-run event. Sound systems, staging, screens, lighting, microphones, live streaming, and the crew who manage it all on the day.

Most conference production guides focus on planning, themes, and catering. Very few cover the technical side in practical detail. This guide explains what conference production actually includes, what realistic costs look like in the UK, and what to ask before booking a production company.

At Beatz Hire, we provide conference production services across London, Surrey, Berkshire, Hampshire, Oxfordshire, and Buckinghamshire. We supply sound systems, staging, LED screens, presentation systems, lighting, wireless microphones, live streaming, and on-site technical crew. This guide is based on real delivery experience across hotel conferences, corporate away days, and large-scale business events.

What is Conference Production?

Conference production is the technical and creative delivery of a live conference or corporate event. It covers everything the audience experiences from a sound and visual standpoint, and everything the speakers and presenters need to deliver their content effectively.

It is different from conference planning or event management. Planning handles the logistics, guest lists, catering, and venue. Production handles how the room sounds, how the content looks, and how the technical elements are managed throughout the day.

A well-planned conference with poor production leaves delegates struggling to hear, unable to see slides clearly, and disengaged by technical failures. A well-produced conference makes the content land properly and reflects well on the organisation delivering it.

What Does Conference Production Include?

Sound Systems and Audio

Clear audio is the single most important element of any conference. If delegates cannot hear the speaker, nothing else matters.

Conference audio typically includes a PA system sized for the room and delegate count, wireless lapel microphones for keynote speakers, handheld microphones for Q&A sessions, a top-table microphone array for panel discussions, confidence monitors so speakers can see their slides without turning around, and a front-of-house engineer managing levels throughout.

For larger conferences or venues with difficult acoustics, distributed speaker systems ensure even coverage across the room without excessive volume at the front.

Staging and Set Design

The conference stage is the visual anchor of the event. Speakers present from it, award winners walk onto it, and the audience orients around it throughout the day.

Staging ranges from simple modular platforms with a lectern to fully branded multi-level set builds with custom backdrops, branded fascias, and integrated screen structures. The right staging choice depends on conference size, brand requirements, and venue constraints.

Screens and Presentation Systems

Delegates need to see slides, videos, and presenter content clearly from every seat in the room. This requires screens or LED walls sized and positioned correctly for the venue, a presentation switching system so content moves cleanly between sources, a confidence monitor at the front of the stage facing the speaker, and a show laptop or presentation management system.

For larger conferences, LED walls deliver better brightness and clarity than projection, particularly in rooms where ambient light cannot be fully controlled.

Lighting

Conference lighting serves two purposes. It makes speakers visible and it sets the tone of the event.

Stage wash lighting ensures presenters are clearly lit for both in-room viewing and any camera work. Atmospheric lighting can be used to reinforce branding, differentiate between sessions, and create energy at the start and end of the day.

Branded gobo lighting, where a company logo is projected onto a wall or backdrop is a cost-effective way to reinforce visual identity throughout the event.

Live Streaming and Hybrid Production

Many modern conferences require some delegates to attend remotely. Live streaming should be planned from the start, not added on at the last minute.

Hybrid conference production includes camera positions for clean presenter coverage, audio feed to the stream, screen sharing and slide integration, and a streaming encoder sending the output to a platform such as YouTube, Teams, or a private streaming service.

The remote audience should receive the same quality of experience as the in-room delegates. That requires proper camera work, clean audio, and someone managing the stream throughout the day.

Technical Crew and Show Management

A production company does not just deliver equipment. It provides the people who operate it.

For most conferences, this means a sound engineer managing audio levels and microphone handovers, an AV technician managing screen content and switching, and a show caller coordinating cues throughout the day.

For larger conferences, additional crew members manage cameras, streaming, lighting changes, and speaker support.

Conference Production Costs in the UK

Pricing depends on venue size, delegate count, technical requirements, and whether hybrid streaming is needed. Here are realistic starting ranges based on current UK market rates.

Small Conference (Up to 80 Delegates)

From £1,500 to £3,500

Usually includes a compact PA system, wireless lapel and handheld microphones, presentation screen, basic staging or lectern, confidence monitor, and a technician for setup and operation throughout the day.

Mid-Size Conference (100 to 300 Delegates)

From £3,500 to £8,000

Often includes a larger PA system with distributed coverage, multiple wireless microphone channels, LED screen or projection, branded staging, full lighting setup, and a production crew of two or three.

Large Conference or Awards Event (300 Plus Delegates)

From £8,000 to £20,000 plus

Can include LED walls, custom stage builds, full lighting design, multiple camera positions, live streaming, show calling, and a larger technical crew managing the event from load-in to pack-down.

Booking production early, particularly for autumn and spring conference seasons, protects both availability and price.

Conference Production for Different Event Types

Annual Company Conferences

Typically run over a full day with keynote speakers, breakout sessions, and a closing awards or social element. Production requirements usually include a main stage setup, multiple microphone channels, presentation systems, and often a live stream for remote attendees.

Awards Ceremonies

Stage presentation matters most at awards events. Clear microphones for announcers and award recipients, well-lit staging for photography, and screen content showing award categories and winners all need to be coordinated precisely.

Product Launches

Visual impact is the priority. LED walls, branded stage sets, lighting reveals, and video playback need to work as a cohesive production rather than separate technical elements.

Hybrid Conferences

Both in-room and remote delegates need to feel equally part of the event. Camera positioning, clean audio feeds, reliable streaming, and screen content that works for both audiences requires production planning from the start.

Away Days and Internal Events

Smaller scale but still requiring clear sound, presentation support, and basic staging. Often the most cost-sensitive conference format, which is where a supplier offering dry hire alongside full production adds flexibility.

What to Ask Before Booking a Conference Production Company

Do you own your equipment? Owned equipment means better availability and fewer risks from third-party sourcing at short notice.

Can you supply both equipment and crew? Some companies supply kit only. Others provide a fully managed production service. Know which you are booking.

Have you worked in my venue before? Familiarity with a venue saves time on the day and prevents surprises around power supply, rigging points, and noise restrictions.

How do you handle microphone handovers? Speaker changeovers during conferences are one of the most common points of failure. Ask how they manage this.

Can you provide hybrid streaming? Not all production companies have streaming capability. Confirm before booking if this is required.

What are your access requirements? Load-in time, vehicle access, power supply, and rigging points all need to be confirmed with the venue early.

Common Conference Production Mistakes

Assuming the venue's in-house AV is sufficient. Many hotel and venue house systems are designed for basic presentations, not full-day conferences with multiple speakers, breakout sessions, and live streaming. Always check what the venue provides and whether it meets your requirements.

Booking production after everything else. Production needs to be confirmed alongside the venue, not after catering and entertainment are sorted. Technical requirements affect room layout, power availability, and access timing.

Underestimating microphone requirements. A panel of five speakers needs five microphones that can be managed simultaneously. A Q&A session needs roaming microphones. These need to be planned in advance.

Not planning for hybrid from the start. Adding a live stream to a conference that was not designed for it creates poor camera angles, audio feed issues, and a frustrating experience for remote attendees.

Choosing the cheapest quote without checking what is included. Some quotes include crew and delivery. Others cover equipment only. Always compare like for like.

FAQs

What is conference production?

Conference production is the technical delivery of a conference or corporate event, covering sound, staging, screens, lighting, microphones, live streaming, and crew management.

How much does conference production cost in the UK?

Small conferences start from around £1,500. Mid-size corporate conferences typically cost £3,500 to £8,000. Large conferences and awards events can reach £20,000 or more depending on scale and technical requirements.

Do I need a technician for my conference?

For any conference with multiple speakers, microphone handovers, presentation switching, or live streaming, yes. A technician prevents small technical issues becoming visible to delegates.

Can you provide hybrid conference production?

Yes. Beatz Hire can supply cameras, streaming encoders, audio feeds, and hybrid production management for conferences requiring both in-room and remote attendance.

How far in advance should I book conference production?

For larger conferences, three to six months is sensible. For smaller events, four to six weeks is usually sufficient. Peak conference periods in autumn and spring book up quickly.

Do you only cover London?

No. We cover London and the wider South East including Surrey, Berkshire, Hampshire, Oxfordshire, and Buckinghamshire.

What is the difference between conference production and event management?

Event management covers the full logistics of a conference including venue, catering, and guest management. Conference production is specifically the technical side sound, screens, staging, lighting, and crew.
